What is important when designing modern newsletter templates? How do you inspire your readers while achieving your marketing goals? Our design expert Sarah has worked with clients on numerous successful newsletter projects and knows what works. In this exclusive interview, she shares insights into her creative process, best practices, and how to create templates that are both visually compelling and drive conversions. As a designer and account manager at eworx, I work with our clients to improve their digital communication processes and create engaging newsletter templates. My focus is on developing user-centered and goal-oriented designs that are both aesthetically pleasing and functional.
In my opinion, a successful newsletter is one that is clearly articulated and offers meticulously designed call-to-action (CTA) elements that directly encourage the reader to take action. The harmonious interplay of design and content is also paramount; both elements must complement each other seamlessly. Ultimately, the efficacy of the newsletter is determined by its outcomes: high open and click rates demonstrate its effectiveness.
A superior newsletter design is distinguished by its simplicity and clarity, a principle that is exemplified by the adage 'less is more'. The visual hierarchy is also crucial: important content should always be highlighted. The consistent application of colours and fonts is conducive to a professional appearance, and it is imperative to recognise that the design of email newsletters is distinct from that of web design, with compatibility with various email clients being paramount. It is also recommended to utilise authentic content from the outset, as opposed to employing placeholder text such as Lorem Ipsum. It is important to note that what appears effective during the testing phase can rapidly become problematic in real-world conditions.
In the process of designing the new template, adherence to the principles of the Accessibility Act was of paramount importance in order to ensure accessibility. Concurrently, the requirement for flexibility was paramount, with the template's design incorporating diverse content types and customisable sections to ensure its adaptability to different requirements. The design of the newsletter was informed by the overarching objective of articulating the brand identity of the company in a contemporary and aesthetically pleasing manner. It is also crucial to emphasise that mobile display was a paramount consideration. Responsive design is imperative to ensure optimal display on all end devices. Furthermore, technical compatibility and performance were given due consideration to ensure the template functions efficiently. Finally, the template had to be user-friendly for the marketing team during the editorial process.
In the contemporary digital landscape, mobile optimization has become an indispensable component of digital marketing strategies, given the predominance of mobile devices in the communication landscape. It is imperative to prioritise simplicity in navigation and the utilisation of reader-friendly font sizes, ensuring that content remains comprehensible even on diminutive displays. The importance of swift loading times, which can be facilitated through the use of optimised image formats, is also paramount.
The target group has a significant impact on the design, particularly in the B2B sector, where there is a demand for designs that are factual, informative and convey a professional image. However, as in the B2C sector, it is essential not to neglect the emotional appeal of the design. This is because, in the B2B sector, the end-user is a real person. The industry also plays an important role, especially with regard to the use of colours, images and the tone of communication.
The initial step in the process is a detailed discussion with the customer to ascertain their precise objectives and conceptual ideas for the template. Subsequent to this, an initial wireframe is developed to define the structure and layout. This forms the basis for fine-tuning the design. Subsequent to this, a testing and optimisation phase ensues, wherein the template is subjected to rigorous evaluation through focus groups. This process is instrumental in ensuring the template functions optimally from both a technical and a design perspective.
In the field of graphic design, the utilisation of software such as Adobe XD is commonplace for the creation of preliminary drafts. The technical implementation of these templates is then carried out using HTML/CSS and C#. The final template is then implemented directly in the eworx Marketing Suite (eMS). Optimisation and quality assurance are ensured through the utilisation of testing tools such as Litmus or "Can I email?", which guarantee seamless functionality across all mail clients.
Firstly, I ensure that the new template is completely populated with real content in order to test the layout realistically. Following this, cross-browser and cross-device testing is conducted to ensure that the template displays consistently and looks good across all devices and browsers. In the subsequent stage, the template is then subject to a 4-eyes principle review by colleagues. Finally, the template is sent to test groups with different email clients to check the final compatibility and user experience.
One of the most significant challenges we face is the variety of email clients, which often display content in different ways. To address this, I prioritise standardisation and rigorous testing. When customising content, it is advisable to integrate flexible modules into the template that can be used in a variety of ways. I always make sure to clarify all the details early on in the consultation to avoid any misunderstandings about the requirements and objectives. In cases where time is limited, I utilise an efficient, pre-defined process to deliver optimal results despite time constraints.
There are no difficult problems - only challenges that need to be overcome 😉.
One issue that many marketers will be familiar with is the reduction of unwanted lines in Outlook. This issue required a great deal of research and testing, but the result was a reliable solution. This was beneficial for both ourselves and our customers. Often, the most patience is required for seemingly minor issues.
The efficacy of a newsletter template is primarily gauged by the open and click rates, which serve as the primary Key Performance Indicators (KPIs). In addition, the time users spend on the linked page is a key indicator of the effectiveness of the content. Feedback from subscribers or customers is also important in the further optimisation of the design and content.
The question therefore arises as to how design elements might influence the typical KPIs.
It is possible to increase the open rate by designing an appealing subject line and preview text that will arouse curiosity in the reader and encourage them to open the email.The prerequisite for achieving a high open rate is to implement technical measures to increase delivery reliability, and the quality of the newsletter tool used is key to this.The conversion rate can be improved by ensuring that the call-to-action is clearly placed and the newsletter has a logical structure that guides the reader through it in a targeted manner. A low bounce rate can be achieved with a user-friendly, appealing layout that invites the reader to linger, and interactive elements and exciting content that actively involve the reader ensure more engagement.
We recommend that a newsletter template should not remain unchanged for more than five years. In addition, it should be adapted to new trends or technological changes in order to remain modern and compatible. Feedback from campaigns and tests also provides important information on when a revision makes sense in order to increase effectiveness.
A common mistake is an overloaded design that distracts from the essentials and overwhelms the reader. Another key issue is the failure to ensure technical compatibility, which can result in template display issues in certain email clients. It is imperative to conduct thorough testing prior to implementation to identify and rectify any issues, thereby ensuring a seamless user experience.
Minimalist design with lots of white space is currently the trend - it ensures clarity and focuses on the essentials. Storytelling through personalized content is also becoming increasingly important in order to appeal to readers emotionally. A stronger focus on accessible design is also an important development, as fortunately more and more emphasis is being placed on inclusivity. Last but not least, imagery plays a key role: strong, meaningful images support the message and attract the reader's attention. The question here is how long we will enjoy AI-generated images.
“Always think from the recipient's perspective - what do your readers really want to see and read?” Also: “Test a lot and don't shy away from innovation, because that's the only way to find out what really works.” And last but not least: “A good newsletter tells a story and actively invites readers to interact.”
